Controller and contact

The Jägerverein Berching-Dietfurt e. V., Oberer Anger 9, 92363 Breitenbrunn, is responsible for processing data on this website.

The association is represented individually by Julian Sippl (1st Chair) and Max Koller (2nd Chair). You can send data protection enquiries to kontakt@jaegerverein.info, call 09495 / 903167 or write to the address given above. You can find further association details in the legal notice.

Website, hosting and connection data

The website and the association’s email accounts are hosted by Alfahosting GmbH, Edmund-von-Lippmann-Straße 13–15, 06112 Halle (Saale), Deutschland. Alfahosting receives the data required for hosting, technical support and email processing. Provider information: Alfahosting privacy policy ↗.

When the page is accessed, the IP address, time, requested page or file, and technical browser and connection details are transmitted to the server in particular. If the browser sends them, the operating system and referring page may also be identifiable. Technical logs are used to analyse errors and protect against misuse.

The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest is to provide the website securely and reliably. Technical logs are needed to operate the site and investigate security incidents; the specific retention period depends on the hosting configuration. In the event of a security incident, further storage may be necessary for investigation or legal proceedings.

No usage analysis is loaded without your consent. Google Analytics 4 is used only after you give your consent; advertising personalisation and Google Signals are disabled for this integration. No automated decisions with legal or similarly significant effects are made. Images, font files, the search index, calendar data and videos available locally are loaded from our own server. The website is provided over HTTPS.

Enquiries and membership

When you contact us, we process the information you provide, such as your name, email address, telephone number and message, to deal with and respond to your enquiry. The association officers responsible for handling your enquiry will have access; the messages are processed technically via the association's email inboxes hosted by Alfahosting.

We process general enquiries on the basis of Article 6(1)(f) GDPR; our legitimate interest is communicating with members and interested parties. For enquiries about joining or administering membership, the legal basis is Article 6(1)(b) GDPR. Where processing is required by law, Article 6(1)(c) GDPR applies.

Providing contact details is not necessary simply to visit the website. We need a way to contact you in order to reply. Membership applications can be submitted using the online form, by email or by post; the information required for processing is specified in the application. Details of the online application are provided in the following section.

Contact and application data are retained only for as long as necessary to process the matter, maintain membership or meet statutory evidence and retention requirements. Once a matter has been completed, the data will no longer be stored unless such a requirement applies or retention is necessary to support legal claims.

Online membership application, PDF and internal application list

On the membership page, you can complete the application in a pop-up. The personal details and contact information entered, date of birth, membership type, BJV district group and membership number where applicable, annual subscription, and account holder, bank details and signed signatures are processed. Optional information includes, for example, occupation, hunting activities and consent to association information or publications.

The PDF is created and previewed on your device using locally provided font files and PDF libraries. Simply filling in the form, drawing signatures, checking it or downloading it does not send the application to the association. If you close and reopen the pop-up, your entries will remain as long as this page stays open. Our application does not store application data permanently in your local browser storage. Our integration does not send form contents, IBANs, signatures or the generated PDF file to Google Analytics.

Only when you click “Send application online” will the details and completed PDF be transmitted via HTTPS to the association’s server. The server sends the PDF, including bank details, SEPA declaration and signatures, from the association’s mailbox webseite@jaegerverein.info at Alfahosting to mitglieder@jaegerverein.info. Your email address is used as the reply address. The connection to the mail server is encrypted; this does not mean that the email is encrypted end to end. Alternatively, you can download the blank application (German PDF), or print the completed PDF and submit it by post.

When an application is submitted, the applicant’s first name, surname, email address, application number, receipt time and submission status are stored in an access-protected internal application list. In addition, an integrity check value calculated from the application content is stored to detect altered or repeated submissions and prevent duplicate sending. The administration can view this list, export it for internal processing and delete entries. The list does not contain bank details, images of signatures or PDF files. The application processes the PDF for sending and does not keep a permanently stored or publicly accessible PDF copy on the web server; submitted applications may be stored in the relevant association email inboxes.

Once the application has been successfully handed over to the mail server, the name and email address are also recorded in the access-protected internal “Member information” list. The source and application number make it possible to trace the entry to the online application. New entries remain blocked from mailing until membership of the association is confirmed; existing unsubscribes remain in place. Administrators can edit contact details and remove addresses from the mailing list. To prevent accidental re-import, a removed address remains stored as a blocked entry. Bank details, signatures and PDFs are not added to this recipient list.

Processing for the purpose of handling the membership application and administering membership is based on Art. 6(1)(b) GDPR. Security and integrity checks serve our legitimate interest in preventing misuse and duplicate submissions (Art. 6(1)(f) GDPR). Article 6(1)(c) GDPR applies to records required by law. Voluntary consent to receive information or to publication is based on Art. 6(1)(a) GDPR and may be withdrawn with effect for the future. Submission does not automatically make you a member or subscribe you to the public newsletter.

The application and list entry are retained only for as long as necessary to process the application, maintain membership or meet statutory documentation and retention obligations. If no membership is established, they will no longer be retained once processing is complete, unless such an obligation or the need to provide evidence for legal claims requires otherwise. No automatic time-based deletion of the application list has been set up; the responsible association officers carry out its regular clean-up. For questions, changes and deletion requests, you can contact the association using the contact details above.

The online application uses the same necessary form session and abuse protection as our enquiry forms. The IBAN is checked in the browser and again on the club server when submitted; no external validation service is used. The required information needed to submit the application is marked on the form. Missing required information prevents online submission, but does not prevent you from visiting the website or downloading the blank application form.

Enquiry forms

Depending on the enquiry, the forms process your name, email address, telephone number, message and subject. For group and environmental education enquiries, details such as the organisation, group type, number of participants, age group, preferred location and preferred date may also be required. For date enquiries, the selected date is sent; for local hunting group enquiries, the selected local hunting group is sent. Please do not enter health data or personal details about individual children.

The server forwards your enquiry via the association’s email account webseite@jaegerverein.info at Alfahosting to the designated recipient. The connection to the mail server is encrypted. The email address you provide is used as the reply address. The website does not store the message text permanently in its database. The message may be stored in the relevant association email inbox; the retention criteria described above apply to it. If sending is disabled or unavailable, the form displays a notice and does not open an email programme as an alternative.

To protect against misuse, the form uses the necessary session cookie jv_contact, which lasts for 30 minutes, a security token, an origin check, a hidden verification field, a minimum completion time and input validation. To limit submissions, a pseudonymised IP check value generated using a secret key, together with a counter, is stored for a one-hour period. Expired values are removed when the next corresponding request is made. The legal basis for this protection is Art. 6(1)(f) GDPR; the necessary cookie is covered by § 25(2)(2) TDDDG.

If you select the option “Send a copy to my email address”, we will also send the contents of your enquiry to the email address you provide. This option is voluntary and is not selected by default. A valid email address is required to receive a copy.

Association reports, photos and Instagram

We publish club reports, names, roles, photos and videos to provide information about the club’s work. Depending on the publication, processing is based on consent (Art. 6(1)(a) GDPR) or on the legitimate interest in publicising the club’s activities (Art. 6(1)(f) GDPR), taking account of the rights of the people depicted. You can direct questions, withdrawal of consent or objections to the club contact. Publications remain available only for as long as their informational or documentary purpose and their legal basis continue to apply.

Posts from the club account @jaegerverein can be imported server-side via the Instagram API. Published post text, media and metadata are retrieved in the process. This import takes place on the club server and does not transmit the website visitor’s IP address to Instagram. Imported text, photos and videos stored locally are served on this website from our own server.

If a video does not have a local original file, you can explicitly choose “Load video from Instagram”. Only then is Meta’s Instagram player embedded. In doing so, Meta receives, in particular, your IP address, browser details and the content accessed; if you are logged in, it may be possible to link this to your Instagram account. Meta may use its own cookies and other storage technologies.

The content is embedded on the basis of your consent under Article 6(1)(a) of the GDPR and, where information is stored on or read from the device, Section 25(1) of the TDDDG. Your choice applies only to the post currently open. When you close it, the player is removed; this does not retrospectively delete data already transmitted to Meta. Content available locally remains accessible without activation.

The provider is Meta Platforms Ireland Limited, Ireland. Processing outside the European Economic Area, particularly in the USA, may take place. Meta describes details about recipients, international processing, safeguards and your rights in its Instagram Privacy Policy ↗. Ordinary external links only access the relevant provider when you open them.

Google Maps for event dates

You can explicitly load a Google Maps map for an appointment that is open to visitors. No map is embedded and no connection to Google Maps is made unless you activate it. When the map loads, Google receives, in particular, your IP address, browser details and the map address. Google may use cookies or other storage technologies and associate data with a signed-in Google account.

The legal basis is your consent under Art. 6(1)(a) GDPR and Section 25(1) TDDDG, insofar as information is stored on or accessed from your device. You can load a map once or accept maps for all events. Your persistent choice is stored in the local browser storage under jv_google_maps_consent_v1 for 180 days and will no longer be used as consent after that.

You can withdraw your consent at any time with future effect under Cookies & external content or directly on a map. Closing the appointment window removes embedded maps. This does not retroactively delete data already sent to Google. This website does not request your location. The directions link opens Google Maps only after you click it.

The provider for users in the European Economic Area is Google Ireland Limited, Ireland. Processing outside the European Economic Area, particularly in the USA, may take place. You can find information about international processing, safeguards and retention periods in the Google Privacy Policy ↗.

Game meat suppliers and registration

Association members can register as game meat suppliers using an access code. The information processed includes name, telephone number, address, hunting ground, game species offered and, where applicable, details of enclosure keeping. With your expressly confirmed consent to publication, your name, telephone number, address, hunting ground and game species will be displayed publicly on the game meat page. This public listing enables interested people to contact you directly.

The legal basis for publication is Art. 6(1)(a) GDPR. The application also stores the time of confirmation and a verification value derived from the name and telephone number to detect duplicate entries. The required session cookie jv_wildbret lasts for 30 minutes. The abuse-prevention measure processes a pseudonymised IP verification value within a 15-minute window; expired values are removed during a subsequent corresponding attempt. The legal basis for these protective measures is Art. 6(1)(f) GDPR; the necessary cookie is covered by § 25(2)(2) TDDDG.

You may withdraw your consent to publication at any time, with effect for the future, by contacting the association, and request changes to or deletion of your listing. The administrators may deactivate or delete listings. Deactivation stops the listing from being displayed publicly, but does not yet delete the record. The data will be retained for the service-provider directory and the required evidence of consent for as long as these purposes remain. Registration is not required to browse the website.

Google Analytics 4 – voluntary usage analytics

With your consent, we use Google Analytics 4 to understand which pages are visited and how the website is used. This analysis helps us improve our content, navigation and ease of use. The provider for users in the European Economic Area is Google Ireland Limited, Ireland; data may also be processed by Google LLC and other Google companies.

Analytics is loaded only after you have given your explicit consent. Without consent, this website neither loads the Analytics script nor sends Analytics measurement data or consent signals to Google. Your use of the rest of the website is unaffected. The legal basis is Article 6(1)(a) GDPR and Section 25(1) TDDDG for storing or accessing information on your device.

The data processed include, in particular, page views, technical browser and device details, timestamps, session and usage information, and cookie identifiers. When a connection is established, Google receives your IP address and may derive geographical information from it. According to Google, the IP addresses of users in the EU, Switzerland and the United Kingdom are not logged or stored for this purpose. Transmitted identifiers are pseudonymous; the analysis should not be considered fully anonymous.

Our integration transmits the address of the page visited without search parameters or a URL fragment. Only the website domain is transmitted as referrer information. Form contents, names, email addresses, telephone numbers, messages, bank details and signatures are not sent to Analytics by our integration. Automatic additional measurements (“enhanced measurement”) are disabled in the data stream. Google Signals, ad personalisation and advertising consent are not enabled by this integration.

The analytics cookies _ga and _ga_36Q0704NEC are used to recognise a browser and assign sessions. Our configuration limits the cookie lifetime to 180 days. Your selection is stored locally under jv_privacy_choices_v1 for 180 days. In the Analytics property, the retention period is set to two months for event data and 14 months for user data. The user data retention period may restart following renewed user activity, in accordance with the existing property setting. Aggregated standard reports may remain available for longer.

Processing outside the European Economic Area, particularly in the USA, may take place. For information about Google’s international data processing and safeguards, see the Google Privacy Policy ↗ and Privacy and data security in Google Analytics ↗.

You can withdraw your consent at any time for the future via “Privacy settings” in the footer. Analytics will then be disabled; any Analytics cookies on our domain that can be accessed will be deleted. If the Google script has already loaded, the page will reload to fully disable it. Data already transmitted to Google will not be deleted automatically as a result. For related privacy enquiries, you can contact the association.

Newsletter and association news

The newsletter is sent via the association’s email account at Alfahosting. The sender is webseite@jaegerverein.info; replies go to kontakt@jaegerverein.info. Your email address, selected list, subscription status and information used to verify your subscription are processed. Messages are sent individually; other recipients cannot see your address.

When you sign up publicly, you will first receive a confirmation link. You will only be added to the active list after confirming (double opt-in). The legal basis is your consent under Art. 6(1)(a) GDPR. The confirmation link is valid for 24 hours. Signing up is voluntary; public newsletter subscriptions are not possible without the required email address and confirmation.

Article 6(1)(b) GDPR may provide the legal basis for information necessary for members. An imported list may only be used for its documented lawful purpose. This does not automatically permit messages that require consent.

Every regular message includes an unsubscribe link. Unsubscribing applies to the selected list and also stops any messages still pending. The address remains stored as “unsubscribed” so that a reimport of the list does not trigger an unwanted subscription. You can contact the association about deletion and other data protection matters. Records of consent and suppression records are retained only for as long as needed to demonstrate lawful sending, honour an unsubscribe request or pursue necessary legal claims.

We do not use open or click tracking or tracking pixels. The application only logs the technical sending status of a message. Acceptance by the mail server does not prove that the message has been read. Unconfirmed registrations that have expired are deleted during the next newsletter dispatch. A technically necessary session cookie for public registration jv_news used for a maximum of 30 minutes. It protects the form from abusive submissions.

“Share via WhatsApp” is a standard external link. Only when you open it are the event address and prepared text passed to WhatsApp. You choose the recipient and send the message yourself there. The website does not use WhatsApp tracking.

The provider in the European region is WhatsApp Ireland Limited, Ireland. WhatsApp processes data in accordance with its own terms; international processing may take place. You can find information about this in the WhatsApp Privacy Policy ↗.

Sign up for the hunters’ get-together

To process a request to join the WhatsApp group, we use your name, mobile number, hunting area and message. The information is sent to the association email inbox and used by the responsible social gathering organisers to process your request and contact you. The legal basis is your consent under Article 6(1)(a) GDPR. You may withdraw it at any time with effect for the future by contacting kontakt@jaegerverein.info.

The form does not automatically add you to a WhatsApp group. If you join, your phone number and, depending on your settings, other profile details will be visible to other group members. Using WhatsApp is voluntary. You can leave the group at any time; processing by the provider is governed by the WhatsApp information linked above.

Enquiry data will be deleted when it is no longer needed for processing and organisation and there are no statutory retention obligations or necessary records to the contrary. Without a mobile number and consent, an application to join a group cannot be processed.

Administration, cookies and local storage

The password-protected association administration uses the necessary jv_admin cookie. It contains a random session identifier and no password. The cookie lasts for no more than eight hours; the application also limits the logged-in session to eight hours. To limit login attempts, a pseudonymised value derived from the client address and a counter for a 15-minute period are stored. Expired counters are removed on a subsequent login attempt.

Processing serves to protect against unauthorised access and changes. The legal basis is Article 6(1)(f) GDPR. Necessary session and security cookies for functions expressly used are employed in accordance with Section 25(2)(2) TDDDG. The technical clean-up of server-side session files depends on the hosting configuration; a session’s expiry date does not mean that every associated file is deleted immediately.

No analytics or advertising cookies are set by our application when you visit the public pages as usual. Your choices for Google Analytics and maps are stored locally on your device for 180 days under jv_privacy_choices_v1 and jv_google_maps_consent_v1, respectively. You can withdraw your consent at any time via the privacy settings in the footer. Optional services and necessary cookies are explained under Cookies & external content. External services may use their own storage technologies once activated.

AI-assisted translation of association posts

For English versions, our association server sends article titles and text intended for publication, and any video text that may be available, to the OpenAI API. Translation takes place in the background when an article is created or edited; visiting a page does not trigger a translation request. The English texts are stored on our association server and can be corrected by the editorial team.

Contact and membership applications, bank details, signatures and newsletter mailing lists are not sent to OpenAI by this translation function. API access remains in the private server configuration. Automatic translations may contain linguistic or factual errors; the German original text is authoritative if you have any questions.
